How to correct birth certificate details if born in a government hospital?

Has anyone corrected their birth certificate details for a birth registered in a government hospital? I’m curious if the hospital needs to verify the records first or if the correction can be done directly through the municipal office or online portal.

I was also curious about this because many of us assume that a birth certificate issued from a big government hospital needs a “special” process, when in fact the steps are almost the same as for any other birth just with one extra document from the hospital itself.

How to correct birth certificate details if born in a government hospital

  1. Collect the hospital’s “discharge cum correction” letter
  • Visit the Medical Records Office of the same government hospital where the child was born.

  • Ask for a letter on official letterhead that states:

  • child’s correct name/date,

  • parent names as recorded in the hospital register,

  • a sentence saying “the earlier entry was clerical/hospital error.”

  • Carry the old discharge summary, parent ID proof, and ₹20–₹50 stamp fee; most hospitals issue the letter the same day.
  1. Log in to your state birth portal
  1. Choose “Correction in Birth Certificate”
  • Click “Correction/Update” and select the field you want to change (name, date, parent detail).

  • Upload:

  • scanned old certificate,

  • hospital correction letter,

  • notarised affidavit (₹50 stamp paper),

  • parent/child Aadhaar,

  • online fee receipt (₹50–₹200).

  • Submit and save the acknowledgement number.

  1. Track and download
  • Use the “Track Application” link on the same portal.

  • Most urban local bodies issue the updated digital certificate within 7–15 working days.

  • Download the PDF or collect a printed copy from the corporation office.

  1. Still no update after 15 days?
  • Note the application number and date of submission.

  • Send a short email to your state’s e-governance help-desk (e.g., [email protected] for Tamil Nadu) or call the toll-free number printed on the acknowledgement slip. Quote the number – they usually reply within 48 hours with the exact status.
